Southside Journal Editorial Standards & Publication Policy
Standards governing editorial content produced, commissioned, submitted, reviewed, edited, and published through the Southside Journal and Southside Voices Media Inc.
Southside Journal is a publication of Southside Voices Media Inc. (SVMINC). These Editorial Standards govern content produced, commissioned, submitted, reviewed, edited, and published through the Southside Journal, its website, mobile application, Community Review, social platforms, and related SVMINC publishing channels.
These standards are intended to promote accuracy, fairness, transparency, accountability, community trust, and responsible publishing. They apply to staff, board members acting in an editorial capacity, contributors, freelance writers, photographers, volunteers, community correspondents, and other individuals who contribute material for publication.
Editorial Mission
Southside Journal exists to strengthen community connection and access to credible local information through stories, culture, community events, public-interest information, community voices, and civic engagement.
Our editorial work prioritizes the people, communities, institutions, history, opportunities, and issues affecting Southside Virginia. Publication decisions are based on community relevance, public value, accuracy, editorial quality, and alignment with SVMINC’s charitable mission.
Accuracy and Verification
Southside Journal will make reasonable efforts to verify factual information before publication.
Writers and editors should distinguish verified facts from allegations, opinions, estimates, predictions, and personal accounts. Names, dates, locations, quotations, titles, statistics, and other material facts should be checked against reliable sources whenever reasonably possible.
Information that cannot be independently verified may be attributed clearly to the person, organization, document, or other source providing it.
We will not knowingly publish false or materially misleading information.
Sources and Attribution
Southside Journal will identify the author, publisher, organization, agency, document, or other source of published information when appropriate.
Information obtained from third parties must be attributed clearly enough for readers to understand its origin. Material from government agencies, community organizations, businesses, schools, nonprofit organizations, public records, news organizations, or other outside sources must not be presented as original SVMINC reporting when it is not.
Anonymous or confidential sources should be used only when there is a legitimate editorial reason to protect the source and when the information has sufficient public-interest value to justify withholding the source’s identity.
Fairness and Context
Editorial content should provide sufficient context for readers to understand the subject being covered.
When a story contains a significant allegation, criticism, or potentially damaging factual claim about an identifiable person or organization, Southside Journal should make a reasonable effort to obtain a response from the affected party before publication when circumstances allow.
A person’s refusal or failure to respond does not automatically prevent publication. When material, the publication may state that an opportunity to respond was provided.
Corrections and Clarifications
Southside Journal will correct material factual errors when they are identified and reasonably verified.
Corrections should be made promptly and transparently. Depending on the nature of the error, a published item may be corrected, clarified, updated, supplemented, or, in exceptional circumstances, removed.
Material corrections should identify what was corrected when doing so is appropriate and practical.
Minor typographical, grammatical, formatting, or technical changes that do not alter the substance of an article may be corrected without a formal correction notice.
Requests for corrections may be submitted through SVMINC’s official contact channels.
Editorial Independence
Editorial decisions belong to SVMINC and its authorized editorial personnel.
Advertisers, sponsors, donors, public officials, businesses, partner organizations, contributors, and other outside parties may not purchase or otherwise guarantee favorable editorial coverage.
Financial support, sponsorship, partnership, or advertising relationships do not provide an outside party with control over independent editorial conclusions.
SVMINC may collaborate with community organizations and institutions while maintaining responsibility for its own editorial decisions.
Advertising, Sponsorships, and Paid Content
Paid advertising, sponsored content, promotional material, and similar commercial communications must be distinguishable from independent editorial content.
When appropriate, paid or sponsored material will be identified using labels such as Sponsored, Advertisement, Paid Content, Partner Content, or similar terminology.
Acceptance of advertising or sponsorship does not constitute an endorsement by Southside Journal or SVMINC unless expressly stated.
Opinion and Commentary
Opinion, commentary, editorials, letters, guest columns, and similar material should be clearly distinguishable from factual reporting when the distinction may not otherwise be apparent.
The views expressed by guest contributors or community members are their own unless the content is specifically identified as an official position of Southside Voices Media Inc.
SVMINC reserves editorial discretion over whether submitted opinion or commentary is published.
Community Submissions
Southside Journal may accept stories, photographs, event information, announcements, commentary, documents, and other material from community members and organizations.
Submission does not guarantee publication.
Submitted material may be reviewed for accuracy, relevance, clarity, safety, legal concerns, duplication, editorial quality, and consistency with these standards.
SVMINC may edit submissions for grammar, length, clarity, formatting, style, accuracy, and publication requirements while seeking to preserve the contributor’s intended meaning.
Material that is unlawful, knowingly false, defamatory, threatening, discriminatory, exploitative, deceptive, plagiarized, invasive of privacy, or otherwise inconsistent with these standards may be rejected or removed.
Conflicts of Interest
Individuals participating in editorial decisions should disclose material financial, personal, organizational, or professional interests that could reasonably affect—or appear to affect—their impartiality regarding a story.
When a significant conflict exists, SVMINC may reassign the coverage, disclose the relationship, limit the individual’s role, or take another appropriate measure.
Artificial Intelligence and Automated Tools
Southside Journal may use artificial intelligence or automated technology as an assistive tool for functions such as brainstorming, transcription, formatting, research organization, accessibility, editing assistance, design support, or administrative efficiency.
AI-generated output is not automatically treated as verified fact.
Material intended for editorial publication remains subject to human review, verification, editorial judgment, and these standards.
SVMINC will not knowingly use artificial intelligence to fabricate quotations, sources, events, photographs presented as authentic documentary evidence, or other factual representations likely to mislead the public.
Photography, Video, and Digital Media
Images, video, audio, graphics, and other media should accurately represent the subject or be clearly identified when they are illustrations, composites, reenactments, promotional material, or otherwise not documentary representations.
Material editing should not be used to create a materially false impression of an actual event.
SVMINC will make reasonable efforts to respect copyrights, permissions, licensing requirements, privacy interests, and applicable laws governing media use.
Children and Vulnerable Individuals
Southside Journal will exercise additional care when publishing information about minors, victims, vulnerable individuals, or persons involved in sensitive circumstances.
The public value of publishing identifying information should be weighed against foreseeable privacy, safety, and dignity concerns.
When required by law or SVMINC policy, appropriate authorization or consent will be obtained before publication.
Privacy and Personal Information
Southside Journal will consider legitimate privacy interests when determining whether personal information is necessary to a story.
The fact that information is publicly accessible does not automatically mean that publication serves a legitimate editorial purpose.
Sensitive personal information should be published only when it is relevant, legally permissible, and justified by the editorial or public-interest value of the information.
Copyright and Intellectual Property
Contributors must submit material they have the legal right to provide for publication.
Southside Journal will not knowingly publish plagiarized content or copyrighted material without authorization, license, a legally recognized exception, or another lawful basis.
Attribution does not by itself replace the need for copyright permission when permission is legally required.
Defamation and Unlawful Content
Southside Journal will not knowingly publish defamatory statements or other content prohibited by applicable law.
Potentially damaging factual allegations should receive heightened editorial review and reasonable verification before publication.
Nothing in these standards prevents SVMINC from publishing truthful, properly sourced, fair, and lawful reporting on matters of legitimate community or public concern.
Public Records and Official Information
Southside Journal may rely upon public records, government documents, meeting materials, court records, official statements, data, and other authoritative sources.
When information comes from an official record or outside entity, the source should be identified where appropriate so readers can distinguish independently reported information from externally supplied information.
Removal and Content Updates
Publication does not create an automatic right to permanent publication or an automatic right to removal.
SVMINC may update, restrict, archive, correct, or remove content when justified by legal requirements, substantial factual inaccuracies, privacy or safety concerns, copyright issues, ethical considerations, technical problems, or other compelling editorial reasons.
Requests for removal will be evaluated individually.
Editorial Complaints and Concerns
Readers who believe Southside Journal has published inaccurate, misleading, improperly attributed, infringing, or otherwise problematic content may contact Southside Voices Media Inc.
Complaints should identify the publication or content at issue, explain the specific concern, and provide supporting information when available.
SVMINC will review credible concerns and determine what corrective or editorial action, if any, is appropriate.
Updates to These Standards
Southside Voices Media Inc. may revise these Editorial Standards as its publishing operations, technologies, programs, legal obligations, or professional practices evolve.
The version published on the SVMINC website constitutes the current Editorial Standards applicable to Southside Journal.
